Education

School Operations & Virtual Learning Infrastructure

  • Manage operational systems that support AIM HIGH’s hybrid learning model, including facilities, scheduling, supplies, and classroom and virtual environment setup.
  • Coordinate safe and efficient student arrival, dismissal, and transitions across in-person field experiences and remote days.
  • Ensure learning environments (studios, classrooms, maker spaces, and digital platforms) are optimized and accessible
  • Oversee asset and inventory management for equipment, technology, and hybrid learning tools.
  • Coordinate annual purchasing of materials, furniture, and studio tools for hybrid/in-person use.
  • Manage food services and transportation logistics—including vendor contracts and schedules.
  • Lead building safety, safety drills, and maintenance coordination.
  • Oversee implementation, maintenance, and troubleshooting of digital platforms (e.g., Google Classroom, Zoom, PowerSchool).
  • Manage distribution and tracking of student/staff tech devices and accounts.
  • Monitor daily virtual attendance and ensure functioning online learning systems.
  • Maintain employee HR records and ensure compliance with all employment laws, including onboarding and staff credential tracking.

Compliance, Enrollment,  & Administrative Operations

  • Execute the monthly administrative calendar and ensure timely task completion.
  • Maintain compliance with state, federal, and local reporting requirements.
  • Manage enrollment, scheduling, attendance, and student records across physical and digital systems.
  • Ensure secure and confidential handling of student/staff data in compliance with FERPA.
  • Oversee logistics for standardized testing (MAP, ACT, End-of-Course) and ensure timely dissemination of progress reports and report cards.
  • Manage digital storage of IEP documentation in coordination with special education staff.
  • Support data entry and reporting across all relevant systems.

Budget & Financial Management

  • Collaborate with the Executive Director/Principal and Finance Team on school budgeting aligned with fiscal best practices.
  • Maintain accurate financial records and submit documentation for processing and grant compliance.
  • Oversee procurement and purchasing of supplies, services, and technology.
  • Monitor budget usage, manage variances, and participate in monthly financial reviews.
  • Ensure adherence to AIM HIGH’s financial policies and assist with the annual audit process.
  • Track inventory and ensure timely asset distribution.

 

Operational Support for Staff and School Programming

  • Foster a professional, welcoming front office and support environment, 
  • Provide high-quality customer service and responsiveness to students, staff, families, partners, and visitors.
  • Coordinate logistics for hybrid and in-person events, including showcases, exhibitions, and field studies.
  • Support team communication and logistics and ensure smooth operations during hybrid and in-person school days.
  • Assist with onboarding and professional development logistics, including substitute coordination.
  • Plan staff engagement initiatives (e.g., celebrations, appreciation events, wellness activities).
  • Support interdisciplinary planning and ensure access to materials and resources across departments.

Student Culture  and Family Engagement 

  • Support implementation of schoolwide communication systems for families, including hybrid learning updates, transportation logistics, and event calendars.
  • Provide responsive, culturally competent support to families and students regarding operational inquiries.
  • Build positive, supportive relationships with students, acting as a steady presence in the school community.
  • Provide operational support for student entry, dismissal, safety procedures, and transitions between hybrid schedules.
  • Coordinate logistics for student clubs, extracurriculars, internships, off-site trips, and in-school events.
  • Actively contribute to developing and implementing student culture policies, discipline systems, and attendance initiatives.
  • Support advisors and Transformational Coaches with attendance follow-up, referrals, and student engagement tracking.
  • Collaborate with the Executive Director/Principal and leadership team to design scalable operational systems that reflect AIM HIGH’s core values: innovation, equity, and creativity.
  • Actively participate in schoolwide initiatives and demonstrate leadership aligned with a start-up, student-first culture.

Recruitment, Enrollment & Community Outreach

  • Manage pre-registration and enrollment systems to ensure full enrollment by the first day of school.
  • Lead student recruitment efforts and community outreach campaigns.
  • Collaborate with staff to promote AIM HIGH’s programs to families and partner organizations.
  • Support logistics for orientation, admissions lottery, and recruitment events.
